Quick Start Guide for In-House Users

Overview

Get started using PlanRadar as an in-house user.

Learn how to download the PlanRadar mobile app, login, navigate through the app and work with tickets.

How to get your login credentials

When you get invited you receive an invitation mail from PlanRadar with your username and a link to set your password. The invitation email also contains links to download the mobile app. 

Download the Mobile App

Besides the PlanRadar Webapp which you can run in any common browser, PlanRadar provides mobile apps for iOS and Android that make working on site even more convenient. With the mobile apps, you can continue working even without an internet connection.

To get the mobile app on your smartphone or tablet you have three options:

  • Open the link at the bottom of your invitation email on your mobile device
  • Or click these links for iOS or Android
  • Or open the AppStore or PlayStore and search for PlanRadar

Mobile & Webapp Instructions

If you want to learn how to work on-site with a smartphone or tablet, continue reading the instructions in the Mobile tab. If you want to learn how to use the Webapp in a browser on a computer continue reading in the Webapp tab.

Login

After you downloaded the mobile app and start it the first time, you will see the login screen.

  1. Click Sign in
  2. Enter your username and password.

Navigate to a Ticket and Edit it

Select Account & Project

After login the app will sync data with the PlanRadar servers.

A first-time sync might take a few minutes. Please do not close the app and allow the process to complete before you continue.

When the sync has finished you will see the account selection screen. If multiple companies have invited you to their PlanRadar accounts, you can select the account you want to work with now.

You will not see the account selection screen if you have only been invited to one account.

To select an account:

  1. Tap the account name e.g. PlanRadar

After selecting an account you see the project selection screen. If you were invited to multiple projects within the previously selected account, you can select the project you want to work on now.

To select a project:

  1. Tap the project name e.g. Office Complex 11

Select Tickets in the Main Menu

Once you have selected a project, the main menu will appear, allowing you to choose which feature you want to use.

To select the tickets feature:

  1. Tap Tickets

You see a list of all tickets that are assigned to you:

Open & Edit a Ticket

When you start working on a ticket set the status to 'In Progress' to inform everyone with access to the ticket.

  1. Tap on a ticket to open and edit the ticket.
  2. Tap on a field in the form to edit it (e.g. Status).
  3. Example: Set the status of the ticket to In Progress.
  4. After changing the status, you see that the colour of the ticket header changed:
  5. Tap back to close the ticket and save changes.

A lock icon is displayed for all ticket fields you are not allowed to change:

Add Attachments to a Ticket

When you open a ticket as described above, you can also add photos, videos, a voice recording and documents.

Add Photos

To take and attach a photo:

  1. Tap Add Media and use the camera to take a photo.

  2. After you take a photo the photo editor opens.

  3. Optional: Use the editing tools to adjust the photo or to add annotations.

  4. Optional: Add a caption.

  5. Attach the photo to the ticket and close the photo editor.

  6. Optional: Attach the photo to the ticket and continue taking another photo.

Add Videos

To take a video and attach it to a Ticket:

  1. Tap Add Media
  2. Tap Video

     
  3. Start the recording with the red button and stop the recording before 30 seconds.
  4. Optional: If you have recorded a longer video you'll need to use the trim feature before the video can be attached.
  5. Optional: Add a title.
  6. Attach the video to the ticket and close the camera.

Add a Voice Recording

You can attach only one voice recording to each ticket.

To add a voice recording:

  1. Tap +
  2. Tap Add voice recording
  3. Tap Start recording and talk
  4. Tap Finish recording

     
  5. Optional: Tap Replace if you want to delete the recording and start again.
  6. Optional: Tap Trim to cut the beginning or end of the recording.
  7. Tap Save

     

Add Documents

Supported documents include PDF, Microsoft Word, Excel and E-Mail (.msg, .eml) files.
Supported archive file types: zip, rar

To upload a document from your device to the ticket:

  1. Tap +
  2. Tap Add Document
  3. Tap Select file and select a document from the file browser
  4. Optional: Enter title
  5. Tap Save to upload the document to the ticket.

Communication & Activity in a Ticket

Comment a Ticket

Comment on a ticket to ask questions or share information with others. The author and all receivers of the ticket will get a push and/or email notification, according to their personal settings.

  1. Tap Type a message

     
  2. Enter your message
  3. Tap Send

     

Read Comments and Journal of a Ticket

When information in a ticket is changed or a comment is sent, an entry is added to the journal (see second screenshot).

  1. Tap the journal icon to view the journal.
  2. In the journal it is also possible to write a comment.

Show the Plan & Tickets of a Layer

Like folders in a file system, the layers in PlanRadar help you organise the plans and tickets of a project. Each ticket is associated with a specific layer. Layers can be associated with a 2D plan or BIM model but they can also be used without a plan.

Select a Layer

To select a layer:

  1. Tap on the layer selector
  2. Tap on the desired layer e.g. Ground Floor

The layer selector always shows the currently selected layer:

Show/Hide Sub-Layers

To show sub-layers while you are in the layer selector:

  1. Tap the arrow button next to the parent layer

To hide sub-layers:

  1. Tap the arrow button

Show All Tickets

To show all tickets of all layers of the selected project:

  1. Tap on the layer selector
  2. Tap Show all tickets

View and Find Tickets

Plan View

To switch to plan view:

  1. Tap Plan

Tickets with a plan position are represented by a ticket pin. The pin also indicates the status by its colour.

  1. Tap on a ticket pin to open the callout which shows the ticket id and title.
  2. Tap on the callout to open the ticket.

List View

To switch to list view:

  1. Tap List

Search Tickets

Regardless of whether you are in the list view or the plan view, you can always search for tickets using text. Only matching tickets will be shown until you cancel the search.

To search for tickets:

  1. Tap the search icon
  2. Enter your search term

Filter Tickets

Filtering tickets works similar to searching. Filters are available in the list view and the plan view.

You can apply filters that someone else has defined and shared, or define your own filter criteria.

  1. To open the filter panel tap the filter icon:
  2. In the Filtering tab you define filter criteria.
  3. Use one of the pre-selected most common criteria like Status.
  4. OR tap Edit filter criteria to open the complete list of all available filter criteria.
  5. In the Filter List tab you see all saved and shared filters.
  6. Tap on My open tickets as example to apply this filter.

Change Feature/Project/Account

When you are in a feature and want to go to the main menu:

  1. Tap the Back button

When you are in the main menu and want to go to the project selection screen:

  1. Tap the Back button

When you are in the project selection screen and want to go to the account selection screen:

  1. Tap the Back button

Start Sync

To start synchronisation of your mobile device with the PlanRadar server:

  1. Go to the main menu (as described above)
  2. Tap the Sync button

Login

Open the login page planradar.com/login and continue to:

  1. Enter your username and password.
  2. Click Login

Navigate to a Ticket and Edit it

Dashboard

After logging in, you start on the dashboard, which gives you an overview of all your projects and the tickets assigned to you.

Show Tickets Assigned to Me

  1. Click Tickets assigned to me to show a list of all ticket assigned to you in all projects.
  2. Each line in the table represents one ticket (click on the line to open the ticket).

Open & Edit a Ticket

When you start working on a ticket set the status to 'In Progress' to inform everyone with access to the ticket.

Click on a ticket to open and edit the ticket (see previous screenshot).

  1. Open the Status drop-down menu
  2. Click In Progress
  3. Click Save and close to save your changes and close the ticket.

Ticket fields for which you don't have edit permission are greyed out:

Add Attachments to a Ticket

When you open a ticket as described above, you can also upload attachments.

To upload an attachment to a ticket, open the ticket as described above. Then:

  1. Click Add new attachment
  2. Click Add from my computer
  3. Select the file in the file browser
  4. Optional: Use the editing tools to adjust the photo or to add annotations.

  5. Optional: Click Edit title to add or change the title of a photo.
  6. Click Save attachment to upload and attach it to the ticket.

  1. Open the ticket and scroll down to Journal
  2. Click New comment and enter text
  3. Click Send

View Comments and Ticket Journal

  1. When information in a ticket is changed or a comment is sent, an entry is added to the journal.
  2. Click the filter icon to define which entries you want to see in which order.

Navigate through the Webapp

So far you only used the dashboard and opened tickets from the tab 'Tickets assigned to me'.

In the main menu on the left you can access other features including:

  • Dashboard
  • Tickets (plan view and list view)
  • Project Reports
  • Documents

Expand the main menu to see labels in addition to the icons by clicking the arrow icon (or collapse it again to save space):

Show the Plan & Tickets of a Layer

Like folders in a file system, the layers in PlanRadar help you organise the plans and tickets of a project. Each ticket is associated with a specific layer. Layers can be associated with a 2D plan or BIM model but they can also be used without a plan.

To show the plan & tickets of a layer, follow these steps:

  1. Click Tickets
  2. Open the Project and layer selector
  3. Select a layer, e.g. Ground Floor

On the left you see a list of ticket and on the right you see the plan. Ticket pins show the position of the tickets on the plan.

To open a ticket click on the ticket or on the ticket pin:

Ticket List View

This view displays all tickets of the selected layer in a table.

To switch to the list view:

  1. Open the View drop down menu
  2. Click List

In the list view you get a more data-driven overview of your tickets. You can sort the list by any field e.g. due date, just by clicking on the column header:

Show Tickets of All Layers/Projects

In the list view it is possible to not only show tickets of a specific layer, but also of "All layers" of a project. You can even show tickets of all projects at once.

To show all tickets of a project:

  1. Open the Project and layer selector
  2. Click All layers

To show all tickets of all projects:

  1. Open the Project and layer selector
  2. Click Change project
  3. Click Show all projects

Ticket Calendar View

Use the Calendar view to get an overview of your tickets based on the date fields that are currently relevant for you. Read more in Tickets Calendar View.

To switch to the calendar view:

  1. Open the View drop down menu
  2. Click Calendar

Search Tickets

Regardless of whether you are in the list view or the plan view, you can always search for tickets using text. Only matching tickets will be shown until you cancel the search.

Filter Tickets

Filtering tickets works similar to searching, but you can create filter criteria based on any form field. Filters are available in the list view and the plan view.

To apply filters that someone else has defined and shared:

  1. Open the Filter drop-down menu
  2. Select a saved filter e.g. Open tickets
  3. Or open the filter panel to define your own filter criteria
